iNova Pharmaceuticals, a major pharmaceutical firm active across Asia, Australia, New Zealand, and Africa, was seeking to expand its brands and geographic reach. However, the company faced challenges in handling business processes that required workflows across multiple departments and country locations. The existing processes were decentralized and ad hoc, based on email threads and a variety of SharePoint folders. This led to significant time wastage on manually intensive processes, such as chasing down people for approvals and documentation. The technology team was tasked with supporting a growing business with the same resources, which was proving to be a daunting task. The company needed a more effective and efficient way to manage these processes to support its growth strategy.

The company is active across Asia, Australia, New Zealand, and Africa, offering a wide range of products covering weight management, cold & flu, pain management, health supplements, sun care, and much more. In 2017, the company underwent a change in ownership and shifted its focus towards expanding its business development and revenue targets. To achieve these aggressive growth targets, iNova Pharmaceuticals needed to innovate on various fronts, including automating business processes for scale and agility.
The Solution
iNova Pharmaceuticals decided to automate various supply chain, HR, and finance processes using Nintex Workflow Cloud and Nintex Forms, with support from Nintex partner, Antares. The first process to be automated was vendor onboarding, which was previously a decentralized and time-consuming process. The new vendor request workflow, based on Nintex Workflow Cloud and Nintex Forms, starts with an iNova employee completing an intuitive form that specifies the vendor, estimated annual business with iNova, if the proposed contract meets requirements for review by the legal team, and required documentation to support the submission. The form is then automatically routed to reviewers in the finance, legal, accounts payable, and procurement departments. Automated reminders are sent to reviewers as needed, and managers can easily track the status of the workflow and identify any delays. This has resulted in a vendor onboarding process that is approximately 30% faster than the previous process.
