The Challenge
The National 4-H Council, the largest youth development organization in the U.S., was facing a significant challenge in managing their national curriculum peer review system for educational materials. The process was not only manual but also poorly defined, involving too many people whose roles were not clearly articulated. The traditional method involved mailing publications to reviewers, receiving them back by mail, transcribing edits, and then sharing these edits with authors. This process was time-consuming, inefficient, and prone to errors. The organization was in dire need of a system that could automate and streamline this process, making it more efficient and less cumbersome.
About The Customer
The National 4-H Council is the largest youth development organization in the United States, empowering six million young people across the country. The organization provides life-changing programs through 4-H clubs, camps, afterschool, and school enrichment programs in every county and parish in the U.S. In addition to these programs, 4-H also develops a variety of educational materials and curriculum with the help of professionals nationwide. The organization was seeking a solution to improve and automate their national curriculum peer review system for these educational materials.
The Solution
4-H chose Integrify as their workflow management tool due to its numerous automation options and pricing flexibility. The Integrify Services Group built out their entire peer review process according to 4-H's specifications, advised on best practices, and ensured the process was properly tested before launch. To communicate the new, automated process to the peer review community, a series of webinars were presented explaining the new process and how to use the new Integrify portal. Curriculum authors were trained on the expectations and how to submit documents for review. Additionally, 4-H supported a training program for professionals interested in becoming peer reviewers. A web-based course was developed to qualify 4-H professionals as peer reviewers. The Integrify support team was also available to assist with more complex workflow edits in a responsive and friendly manner.
Operational Impact
  • The implementation of Integrify's automated peer review process has had a transformational effect on 4-H's curriculum development program. The previously manual and inefficient system has been replaced with a coherent, purpose-built, automated online workflow for peer reviewers and content submitters. This has not only streamlined the process but also made it easier to get more youth and professional development materials out to the children they serve across the country. The new system has also triggered a much-needed re-evaluation and overhaul of the existing process, leading to improved clarity and efficiency.
