The Challenge
North of England Commissioning Support (NECS), a healthcare service provider in the United Kingdom, was grappling with outdated administrative processes that were heavily reliant on paperwork. This was a significant challenge as it was slowing down operations and reducing efficiency. Hospitals, clinical commissioning groups, and GP practices that outsourced services to NECS required highly efficient, patient-centric services. However, the paper-based administrative processes were a hindrance to achieving this goal. NECS needed a solution that could automate these processes and improve efficiency.
About The Customer
North of England Commissioning Support (NECS) is an organization that delivers administrative and healthcare services on behalf of hospitals and healthcare providers in the United Kingdom. NECS serves a wide range of NHS organizations, including hospitals, clinical commissioning groups, and GP practices. The organization is committed to delivering highly efficient, patient-centric services for these partners. To achieve this, NECS is continuously seeking ways to improve its administrative processes and increase efficiency.
The Solution
NECS decided to automate its administrative processes using the Nintex K2 Five workflow solution. After conducting thorough evaluations of several workflow solutions, NECS found that K2 Five was less expensive and already approved on the UK Government’s G-Cloud Framework, making it easy to acquire without a protracted procurement process. With initial support and training from a services partner, NECS implemented K2 Software and began transforming its most paper-intensive processes. The organization developed two straightforward workflows for booking rail travel and hotel accommodation, which saved users an average of 17 minutes each time they made a request using one of these workflows. NECS is now developing additional process automation using K2 Five, including solutions for Serious Incident Root Cause Analysis, Proposal Management, and other support functions.
Operational Impact
  • The implementation of the Nintex K2 Five workflow solution has significantly improved the efficiency of NECS's administrative processes. The organization has been able to reduce the time required for one key process by 73%, leading to substantial cost savings. The automation of processes has also allowed NECS's 1,100 employees to adjust to new ways of working with automated workflows, leading to significant efficiency gains. The success of the initial implementation has led NECS to develop additional process automation using K2 Five, further enhancing its operational efficiency and service delivery.
Quantitative Benefit
  • £45,000 saved in travel expenses
  • £205,000 saved annually
  • 73% reduction in time to complete a process
