The Challenge
Bay Cove Human Services, a not-for-profit organization, was facing challenges with the Google Apps ecosystem. While the online productivity suite was beneficial for messaging and collaboration among employees and external contractors, the freedom for end users to install and use 3rd party applications posed IT challenges. These included having complete visibility into all applications that are granted access to the domain, ensuring that 3rd party apps comply with the organization’s Approved Applications Policy, and classifying apps based on their risk profile. Many 3rd party applications ask for Google Apps domain permissions to be granted as part of their installation. This created exposure for end users and for the entire company’s domain, and created the potential for being taken advantage of by these applications, as well as by privileged users of the vendors behind them.

The Solution
Bay Cove Human Services selected CloudLock Apps Firewall to secure all 3rd party apps with access to their Google Apps domain. CloudLock Apps Firewall automatically detects all apps that have been granted access to the corporate domain. Once the applications are discovered, domain administrators can view all applications with access to the domain, view all users that have granted access to a specific application, and view all applications that a specific user has added. CloudLock Apps Firewall lets organizations review the risk profile of each app and allow or ban applications based on the access rights given to the app. Reviewing the risk profile is done based on the scope of each application, the resources it has been granted access to, and the extent of the access rights granted to each application, an understanding of what each application does, the vendor profile for each application, including whether it is a trusted and known entity that has passed security and other audit certifications, and who has granted access to this application, how many users actively use the app, and whether it has been added by domain administrators (privileged domain users) or regular domain users.
