The Challenge
BEGO, a dental company based in Bremen, Germany, was facing challenges with its document management. The company had to meet strict requirements for production, research, and development, as well as administration and information management. Businesses in the dental sector must satisfy extensive obligations for documentation. BEGO was spending large amounts of time searching for documents and related day-to-day paperwork, especially when customers had follow-up questions. Filing the various documents was quite labor-intensive. They were running out of space for document storage. Inquiries, invoices, delivery notes, and offers were all kept in traditional paper files, and the filing cabinets were overflowing. They were eager to save on the labor and expense that it took to maintain their unwieldy files.

BEGO is a dental company based in Bremen, Germany. The company offers a broad spectrum of high-quality products and services, from implants, crowns and bridges to CAD/CAM solutions for dental laboratories. Large orders from customers across Europe and worldwide guarantee BEGO a solid business with continued opportunities for future growth. Around 60 percent of their roughly 70 million euros of annual sales come from international clients. In the dental industry, a company's ability to innovate is its key to attaining an international competitive edge. To keep the company competitive, BEGO not only has to meet strict requirements for production, research, and development – administration and information management are equally crucial.
The Solution
BEGO decided to implement a document management system in 2002. They deployed DocuWare on a Microsoft SQL Server with an HP back-end. They also acquired six Fujitsu workstation devices which they use to make double-sided color scans of paper documents. Around 20 employees in the departments of Purchasing, Financial Accounting, Production, and Sales can access the central document pool directly from the merchandise management system. To make special inquiries or find specific items, the employees can also open DocuWare itself and use its search functionality. Through DocuWare Web Client, the company's trade partners and service sites have direct online access to device documentation from every continent. That gives international partners much better support from the German headquarters. At any time or place, they can consult all specifications and test reports on the devices as needed, without having to install any new software on their own machines.
Operational Impact
  • The company is continually finding more ways to use the DMS. Through DocuWare Web Client, the company's trade partners and service sites have direct online access to device documentation from every continent.
  • All of the data associated with the document, such as the supplier number, invoice number, and address, are automatically copied from the ERP system as keywords used for the indexing and filing process.
  • Employees with the appropriate permissions have immediate access to these documents whether they are invoices, delivery notes, offers, inquiries, or orders.
