The Challenge
Big Music, a music business founded by Richard and David Berkman in 2009, had grown significantly over the years. The business had over 800 students coming in for music lessons, 30 music teachers, and a music product business that sold both online and in their Sydney street-front retail premises. However, the Covid-19 pandemic brought new challenges. While the slump in foot traffic was compensated by a surge in eCommerce, the unique nature of the music business made online selling potentially problematic due to the huge price range of music products. Big Music had been using an inventory management system called Lightspeed, which they had customized over the years to fit their business. However, with the increase in eCommerce sales volume and the modernization and cloud trend in the business software landscape, they found themselves outgrowing Lightspeed. When Lightspeed announced it was winding down, Big Music needed a bigger and better solution.
About The Customer
Big Music is a music business founded by Richard and David Berkman in 2009. The business offers music lessons to over 800 students, employs 30 music teachers, and runs a music product business that sells both online and in their Sydney street-front retail premises. The business has a unique range of products, from guitar picks that cost less than $2 to custom Fender Stratocaster guitars that sell for more than $10,000. Big Music is an all-in-one location, with the retail storefront, a warehouse, studios, and other areas for learning and recording. Both retail and online orders are fulfilled from the same warehouse.
The Solution
Big Music turned to SMB Consultants, who had helped them implement Lightspeed over a decade ago, to find a new inventory system. They chose Cin7, a cloud-powered app stack that could act as a fully-bespoke ERP, with a single app at its core, acting as a sole source of truth. Along with Cin7, Big Music also switched from desktop-based MYOB to online accounting with Xero. Inventory data was carefully moved from Lightspeed into Cin7, and the same process took place from MYOB to Xero, ensuring that vital historical data was kept intact and business continuity was maintained across the transition. Big Music also used Cin7’s built-in Point Of Sale capability for all their in-store transactions, which worked seamlessly and provided near instant sync with inventory. The website was built on Shopify, and the team used Starshipit for fulfillment.
Operational Impact
  • The transition to Cin7 and other cloud-based solutions has brought significant operational benefits to Big Music. The business is now able to stay completely up-to-date with operating systems and security patches. The near instant sync with inventory provided by Cin7’s built-in Point Of Sale capability means they always know exactly how much product they have to hand, improving customer service. The cloud capability of Cin7 has also extended access to the business, even when staff are offsite, and has improved work-life balance for back-office staff. Furthermore, the depth of the integration has removed a lot of manual effort, making operations staff more efficient. The new system has also made the process of taking sales orders and converting them to purchase orders much easier.
