The Challenge
The client, a regional bank in the United States, faced significant challenges with their budgeting process. The Finance team controlled all data through an Access database and generated Excel files that were emailed to every branch. Hundreds of users across dozens of branches would fill in the budget templates and email them back to the Finance team. This process was fraught with inefficiencies and risks. The uncontrolled nature of the templates meant users could make unauthorized changes to data, compromising the budget’s integrity. Errors could only be identified through manual review, which was time-consuming and prone to mistakes. The Finance team had to copy and paste received data into the Access database over several days, drawing out the budgeting process and increasing the risk of error.
About The Customer
The customer is a regional bank in the United States, dealing with a complex budgeting process involving multiple branches. The Finance team was responsible for managing and consolidating data from various branches, which was a labor-intensive and error-prone task. The bank relied on an Access database to control all data and generated Excel files that were emailed to every branch. Hundreds of users across dozens of branches would fill in the budget templates and email them back to the Finance team. This process was inefficient and fraught with risks, including unauthorized changes to data and errors that could only be identified through manual review. The Finance team had to spend several days copying and pasting received data into the Access database, drawing out the budgeting process and increasing the risk of error.
The Solution
Vena provided a comprehensive solution to the bank's budgeting challenges. Vena’s central data repository automatically connects to the bank’s GL and PeopleSoft, rolling up-to-date data into a central data repository. This provides the entire organization with a “single version of the truth.” Vena’s system connects the bank’s most up-to-date spreadsheets, templates, models, and formulas to the central data repository, ensuring they are updated every time a change is made to the data contained in the GL. A single budgeting template can be leveraged by the entire organization, and actuals are automatically rolled into each template. Vena’s workflow engine allows managers to visually design workflows with a drag-and-drop designer, assign tasks and due dates to specific users, and monitor their status in near real-time. This eliminates the need for manual processes and significantly reduces the risk of errors.
Operational Impact
  • The Finance team no longer has to email templates to hundreds of users, reducing email overload and the need to contend with multiple versions of the same template.
  • The process of loading completed templates into the Access database has been eliminated, giving the Finance team more time to devote to value-added work.
  • The bank’s spreadsheets and templates are directly connected to a central data repository, which automatically consolidates all templates, saving time and reducing the possibility of human error.
Quantitative Benefit
  • Eliminated the need to email hundreds of templates, reducing email overload by 100%.
  • Reduced the time spent on manual data entry by the Finance team by several days.
  • Increased data accuracy and integrity by eliminating unauthorized changes and manual errors.
