Bremer Martinsclub, an association that provides a comprehensive range of services for people with disabilities, was facing challenges due to its rapid growth. The organization was dealing with an increasing volume of paper files and longer processing times. Additionally, the establishment of several decentralized branch offices to make their support structures more handicap-friendly added to the complexity. The organization needed a solution to digitize their business processes, manage the growing volume of paper, and provide access from any location. They were looking for a powerful and flexibly scalable document management system that could be seamlessly integrated into their existing software applications, such as Microsoft Access, Outlook, and an accounting solution from Sage.
About The Customer
Bremer Martinsclub is a German association that aims to help people with disabilities shape their own lives. The association provides a comprehensive range of services – from residential care to assistance in schools, youth welfare, an integrated home care service, educational and leisure facilities, conference room rental, and two integrative kitchens. The organization has experienced rapid growth and has established several decentralized branch offices to make their support structures more handicap-friendly. The association employs almost 900 people.
The Solution
The organization implemented DocuWare, a document management system that not only met their functional requirements but also offered an intuitive user interface. Two high-quality document scanners were purchased for their headquarters, and existing multifunctional devices were used in the district offices. A project team, supported by DocuWare specialists, analyzed central accounting processes and mapped them out in the form of digital workflows. An interface was also programmed for an Access application that had been developed in-house and is used by the association as its primary business application. Paper-based incoming invoices are now digitized in the head office or in the district offices, and the original documents are then destroyed. The self-learning Intelligent Indexing Service automatically indexes the documents and then transfers them into a digital payment approval workflow.
