The Challenge
Before implementing a Document Management System, Lyonnaise des Eaux stored all its business documents, technical documentation, and landed property deeds in physical files. Locating a specific document was a tedious process, often leading to frustration and wasted time. Not all documents were catalogued, and those stored in the basement were never indexed, making retrieval even more difficult. The company needed a solution that would provide direct access to all archived documents and integrate with the existing APIC geographic information system. The goal was to save space and provide a large number of employees with easy access to all documents.
About The Customer
Lyonnaise des Eaux, founded at the beginning of the twentieth century, is part of the international SUEZ group. It is the partner of choice for French local authorities, who entrust it with all their water management business – from production through distribution and waste water collection to purification. It is also responsible for maintaining and documenting the distribution networks and for managing and archiving all technical documents and landed property deeds. The company operates two regional centers in Mougins and Montargis.
The Solution
Lyonnaise des Eaux implemented DocuWare, a Document Management System, at its Mougins and Montargis Regional Centers. The system was installed on 24 office computers and 16 laptops running the APIC geographic information system, providing direct access to all the documents archived in the DMS. All new documents are now digitized by the employees using a Bell & Howell 500 SP high-definition scanner with automatic feed, plus a DIN-A0 HP 4200 color scanner. Three employees spend an average of three to five hours a week archiving documents in DocuWare, and 90 users spend a couple of hours a week consulting the documents in the central archive.
