The Challenge
OMICRON, an Austrian company specializing in the development of innovative technologies for electrical power supply, was facing a significant challenge in managing its digital assets. The company had a vast archive of 100,000 digital assets, including pictures, videos, graphics, documents, and audio files. These assets were stored on a file server with a complex folder structure, making it difficult for employees to search and find the necessary assets. The system was particularly inefficient for the 50 creatives and another hundred local and international colleagues who were working with the database. The configuration of the database made searching and finding assets extremely difficult and inefficient. Additionally, the system required a significant amount of effort to train new employees. The need for a more efficient system led the Marketing team to initiate the purchase of a Digital Asset Management (DAM) system.

OMICRON is an Austrian company that develops innovative technologies for all areas of electrical power supply. The company focuses on electrical testing of medium- and high-voltage equipment, protection testing, and testing of digital switchgears. It also has a separate Cyber Security division. In addition to these, OMICRON offers consulting, commissioning, testing, diagnostics, and training services. Its customers include energy suppliers, equipment manufacturers, large industrial companies, and service providers in the area of electrical engineering. Founded in 1984, the company now operates in 160 countries and employs around 920 people at 25 locations in Europe, North America, South America, Asia, Australia, and the Middle East.
The Solution
After evaluating various tools, OMICRON decided to implement the 4ALLPORTAL DAM system. The system was chosen for its modern interface, extensive product scope, and adaptability. The DAM system was designed to meet the needs of various stakeholders within the company, including Internal Communications, User Experience, Marketing, and Sales. For the IT department, it was crucial that the DAM standard was fully developed and update reliability was ensured. The system allowed all files to be stored in one central location that could be accessed via a web-based tool. The implementation of the DAM system took six months, after which training was provided to the employees. The system also included automatic keywording, which saved a lot of time. The DAM system also fostered collaboration through a 'traffic light' system that governed the rights to use the images.
