The Challenge
KMP Media, a media agency based in Johannesburg, was struggling with a paper-based system for managing sales and buying processes. The company had to deal with a vast amount of paper documents, including order forms, consulting contracts, and invoices. Each month, between 5,000 and 10,000 documents were generated, requiring a significant portion of the staff to sort and archive these documents. The search for important documents was time-consuming and often led to delays in service delivery. The paper-based system was negatively impacting service quality, prompting the management to look for solutions.

KMP Media is a media agency based in Johannesburg, South Africa. Founded in 2008, the company specializes in TV, radio, print, and billboard advertising. KMP Media acts as an intermediary in the advertising business, selling advertising placements to customers and buying them from media companies or broadcasters. The company has 20 employees who are in constant contact with customers and vendors across the African continent. The company has been using the document management system (DMS) DocuWare since 2021 to support all document-based processes.
The Solution
KMP Media implemented DocuWare Cloud, a cloud-based document management system (DMS), to digitize their document-based processes. The solution provides web forms that customers and vendors can fill out on their own screens, transferring the content to KMP's digital file cabinet at the touch of a button. Consultants can easily access and process these documents. Customer invoices are printed directly from the accounting solution Sage Evolution to the digital file cabinet and are immediately available in the electronic customer folder along with other documents. The DMS has a simple user interface, which has significantly contributed to its acceptance by employees. The company has also expanded its use of DocuWare to include human resources, using electronic archiving to comply with strict data protection regulations more easily.
