The Challenge
Néotoa, a real estate organization in Brittany, France, had embarked on a digital transformation process several years ago. They had a document management solution in place for archiving and centralizing documents. However, they wanted to extend the scope of the Electronic Document Management (EDM) to all of its document flows such as employee files, tax and litigation, asset management, and legal matters. They also wanted to include electronic signature and move towards a “zero paper” environment. The organization found its current tool to be too isolated from its ULIS ERP system, lacking flexibility, and the development costs required to extend its initial scope would be excessive.
About The Customer
Néotoa is a real estate organization based in Brittany, France. The organization is committed to providing real estate for all in Brittany and is a preferred partner of local authorities in the development of their territories. Néotoa has 330 staff, some 22,000 rental units in more than 300 municipalities, and nearly 3,000 home ownership units delivered. The organization builds nearly 700 housing units per year. Néotoa had embarked on a digital transformation process several years ago and was using a document management solution for archiving and centralizing its documents.
The Solution
Néotoa decided to abandon its current tool in favor of DocuWare, which won both contracts with its partner. The integration with the group’s business applications: ULIS ERP, Neopost for outgoing mail, Innax for asbestos diagnostics was well received. DocuWare was able to set up the various workflows and integration between their business tools quickly using web services. With over one million documents stored in the EDM and 340 licenses in use, DocuWare is also widely used internally for digital archiving and document viewing. The use of electronic signatures, integrated into the DocuWare EDM, was a major advance over the former system.
