The Challenge
The company was facing a major challenge with uncontrolled use of cloud apps. As part of a major corporate cost-saving initiative, the company's IT organization was tasked with moving all non-revenue-producing initiatives to the cloud. This led them to sanction a handful of cloud apps, including the Office 365 suite. However, they discovered that they had more than 1,000 cloud apps in use, including over 100 alternatives to the Office 365 apps. The company needed to corral users to the corporate-sanctioned Office 365 suite and reduce the usage of alternatives.
About The Customer
The customer is a major national insurance company based in North America. The company has a large workforce of 20,000 employees. As part of a corporate cost-saving initiative, the company's IT organization was tasked with moving all non-revenue-producing initiatives to the cloud. This led them to sanction a handful of cloud apps, including the Office 365 suite. However, they discovered that they had more than 1,000 cloud apps in use, including over 100 alternatives to the Office 365 apps.
The Solution
The company used Netskope to discover and monitor usage in cloud apps across-the-board. IT was able to make decisions about which apps to sanction based on enterprise-readiness ratings provided in the Netskope Cloud Confidence Index. From there, the company identified alternatives to Office 365 and coached users to standardize on the sanctioned, “for business” versions of the apps in the suite. It also helped them identify apps that were part of the Office 365 ecosystem, and make decisions about whether to sanction, monitor, enforce policies, or consolidate them. This led to reduced data exposure.
Operational Impact
  • The company was able to double usage in the “for business” versions of Office 365 while nearly halving usage in the “Live” alternatives.
  • Reduced use of other competing apps by more than half.
  • Identified apps that were in the Office 365 ecosystem, and right-sized them in order to reduce data exposure.
Quantitative Benefit
  • Doubled usage in the “for business” versions of Office 365.
  • Reduced usage in the “Live” alternatives by nearly half.
  • Reduced use of other competing apps by more than half.
