Norbert Dentressangle, a leading company in the Spanish logistics sector, was facing challenges with managing over 90,000 paper records per month. The company was struggling with the time-consuming process of registering, storing, and retrieving documents. The process was so labor-intensive that two full-time employees were dedicated to handling incoming documents. The company needed a solution that would not only reduce the time and cost associated with document management but also improve customer service by providing easy access to the document pool.
About The Customer
Norbert Dentressangle is a leading publicly-traded company in the Spanish logistics sector. The company was created through a 1999 merger between the Spanish company Transportes Gerposa and the British Norbert Dentressangle Group. With over 800 employees and revenues of nearly 200 million Euros, the company is a supply chain management expert and is traded on the London Stock Exchange. As a pioneer in palette transport, Norbert Dentressangle continues to set new milestones in the logistics sector, providing customers with complete custom packages consisting of transportation services, distribution, and logistics. These custom solutions allow the service provider to quickly react to needs in the marketplace.
The Solution
Norbert Dentressangle implemented DocuWare, an Integrated Document Management system. All delivery slips and customer records generated by the company's ERP system were given a barcode, which their regular AS/400 software printed directly onto the documents. The documents were then scanned and placed in the document pool, with DocuWare automatically recognising the internal barcode number and gathering all necessary information regarding the order from the ERP system. This information served as index words which helped users to quickly and easily retrieve a record from the central document pool. As soon as a customer's records were archived and the transportation services provided by Norbert Dentressangle were completed, the status for an order was automatically changed within the accounting system to 'Ready for Invoicing'. The responsible staffer then received a message on the monitor showing the status change, and an invoice could be generated.
