The Challenge
AsiaCell Communications PJSC, the largest telecommunications company in Iraq, was struggling with managing its complex product lifecycle. The process was managed using Excel spreadsheets, Microsoft Project, emails, phone calls, and in-person discussions. This method led to duplicated and/or lost work, and a lengthy time to market of five months. The process was considered one of the top 10 most important telecom processes, critical for any company that generates products. The product lifecycle management (PLM) process was broken down into five gated, or staged, sequences of actions, each requiring approvals to trigger the next set of actions for development. Some gates included as few as six steps of approval, and others included as many as 24. The complexity and inefficiency of the process were causing significant delays and inefficiencies.
About The Customer
AsiaCell Communications PJSC is the biggest telecommunications company in Iraq, serving 97 percent of the market. This equates to a customer base of 12.2 million. Keeping these customers engaged means delivering innovation in a timely and effective way. However, the company was struggling with managing its complex product lifecycle, which was causing significant delays and inefficiencies. The company was managing its product lifecycle using Excel spreadsheets, Microsoft Project, emails, phone calls, and in-person discussions, which led to duplicated and/or lost work, and a lengthy time to market of five months.
The Solution
AsiaCell turned to Nintex for a solution. Nintex’s Advanced Workflows were implemented to manage all stages of development, including sequential and parallel approvals with daily notifications for missed KPI goals. The company created 50 to 60 complex workflows with the help of Mindset, its Nintex partner. The workflows governed the PLM process, breaking it down into five gated sequences of actions. At each gate, approvals were needed to trigger the next set of actions for development. To further boost time savings, key performance indicators (KPIs) were set with Nintex’s notification feature, a set of auto-generated reminders for overdue tasks. Nintex also provided clear auditing and tracking at each step, ensuring that decisions were no longer stalled on desks and in email inboxes.
Operational Impact
  • The implementation of Nintex’s Advanced Workflows has significantly improved AsiaCell's product lifecycle management. The system has streamlined the process, reducing the time to market from five months to just one to two weeks. The workflows manage all stages of development, including sequential and parallel approvals, with daily notifications for missed KPI goals. This has ensured that decisions are no longer stalled on desks and in email inboxes. The system also provides clear auditing and tracking at each step, further improving efficiency. In addition, the parallel approval process has proven to be a huge time-saver, shaving a potential 16 hours per approver off the process. The company has also seen significant cost savings, with $15,000 saved within two months of the system going live.
