The Challenge
The decision to use a DMS came in early 2009 after dhmp was created by the merger of two previously independent consultancy firms. Some company employees already had experience of working with an electronic filing system, but others were used to working with a paper filing system. This required an enormous amount of space: Around ten million sheets of paper had to be stored and archived in a tamper-proof format each year. In some branches, this meant that older documents which were only needed on a very sporadic basis had to be moved to alternative storage for financial reasons. During the merger, they wanted to streamline processes throughout the company. They decided to stick with the Addison platform and to switch to the DocuWare document management system.
About The Customer
Tax consultancy and accountancy are the core businesses of dhmp GmbH & Co. KG, which is headquartered in Karlsruhe, Germany, with additional divisions in various cities. The company, created in early 2009 by a merger of two consultancy firms, has been active in the market for 40 years. Clients value their knowledge in traditional areas, but also their expertise in other financial matters, such as management accounting, M&A and restructuring. The company, with its 150 employees, recorded a turnover of twelve million euros in 2009. dhmp wants to continue its success as a high-quality problem solver for medium-sized companies in the future and is aiming for growth of at least 7%.
The Solution
DocuWare has been used in dhmp since September 2009. 80 employees use the system which is installed on a Windows 2008 server. DocuWare was integrated into Addison via an internal interface, with the DMS running in the background. In this way, tax returns or pay slips created for clients in Addison are then stored automatically in the central document pool. Incoming documents such as client mail, tax notices or incoming invoices are scanned, tagged automatically, and then archived by the administrative office. The document appears via so-called ‘favorite requests’ in the responsible clerk's task list - who doesn't even need to close the familiar Addison interface. The user notes the document, forwards it, or generates new documents such as replies to clients.
