The Challenge
Ricoh Australia, a global technology company, had been experiencing significant growth due to acquisitions and expansion into new markets. This growth, however, led to a complex and disparate quality management system. The system, developed internally, had information stored in various places, leading to a lack of clear-cut ownership of processes. The company was also facing challenges in maintaining its commitment to quality and compliance requirements, including ISO 9001, ISO 14001, ISO 27001, and the CarbonZero environmental standard. To avoid problems with outdated or inaccurate processes, Ricoh needed a new tool that would enable them to impose dates for review of content and make process information accessible to all employees, including those working in the field.
About The Customer
Ricoh Australia is a branch of the global technology company, Ricoh, best known for its range of office equipment and services including printers, projectors, document management systems, and IT services. The company has seen significant growth in Australia due to acquisitions and expansion into new markets, including the development of highly successful professional services and IT services arms. This growth has resulted in the company doubling in size. Ricoh Australia is headquartered in Sydney and maintains branches in all mainland capital cities.
The Solution
Ricoh Australia chose Nintex Promapp as the tool to replace their quality system. They began with a one-month pilot project involving four areas of the business – the business excellence team, HR, product strategy, and IMACD, Ricoh’s asset management group. Two weeks into the project, all team members agreed Nintex Promapp was working well and there was no need to continue with the pilot. A major benefit of Nintex Promapp was the ability to nominate an expert within a procedure, removing doubt about ownership and ensuring users could easily identify who to turn to if they needed more information. It also allowed information systems to be included as part of the procedure documentation. Some teams created content regarding procedures tailored for certain customers, allowing Ricoh to centrally capture information about specific customer requirements.
Operational Impact
  • The implementation of Nintex Promapp has led to a more consistent customer experience for Ricoh Australia. The tool has allowed the company to impose dates for review of content, ensuring that all processes are up-to-date and accurate. It has also made process information accessible to all employees, including those working in the field, improving communication within the company. The ability to nominate an expert within a procedure has removed ambiguity and ensured users know who to turn to if they need more information. Furthermore, the tool has allowed Ricoh to capture information about specific customer requirements centrally, leading to a more tailored and efficient service.
Quantitative Benefit
  • Streamlined operation and compliance management
  • Improved communication with staff out in the field
  • Faster onboarding of new staff
