The Challenge
STACK EMEA (STACK) is a provider of innovative data center solutions with facilities in Oslo, Stockholm, and Copenhagen. They manage over 3,000 assets, including power and cooling units, electrical distribution infrastructure, cooling pumps, data racks, and more. The challenge they faced was minimizing downtime, which required proactive, automated asset and facility management. The Nordic team used multiple processes across different systems that often didn’t integrate, leading to inefficiencies and duplication of information. Their facilities management and change management teams used separate systems, resulting in numerous emails and manual copy-pasting of information across platforms. To streamline collaboration, improve efficiencies, and meet compliance certification requirements (ISO 9001 and ISO 27001), they needed to consolidate tools and gather everything within the same platform.
About The Customer
STACK Infrastructure is a global provider of innovative data center solutions. They deliver a comprehensive suite of campus, build-to-suit, colocation, and powered shell solutions, offering their customers the digital infrastructure they need to scale up and grow. STACK EMEA (STACK) ensures its customers have consistent, reliable infrastructure across the entire Nordic portfolio, which currently includes facilities in Oslo, Stockholm, and Copenhagen. They provide 24/7 support and manage over 3,000 assets, including power and cooling units, electrical distribution infrastructure, cooling pumps, data racks, and more.
The Solution
STACK was already using ServiceNow as their ITSM solution. They extended their existing tech load to include comprehensive asset and maintenance management with Nuvolo Connected Workplace, which is natively built on ServiceNow. The Nordic team uses Nuvolo to track and manage assets at its Norwegian and Swedish sites, handling over 1,000 work orders every month. They also use Nuvolo for technical inspections, working through digital checklists to ensure critical equipment and areas are operational. By centralizing all their data, STACK was able to reduce costs by avoiding duplicate maintenance visits and preventing costly failures. They also streamlined work order processes and vendor management. External technicians now use the same platform as the in-house team, saving time and providing real-time access to information. STACK worked with the Nuvolo team to customize the solution and further extend ServiceNow, increasing the consistency and accuracy of the data.
Operational Impact
  • The implementation of Nuvolo Connected Workplace has significantly improved STACK's operational efficiency. The solution has eliminated the bottlenecks of daily maintenance operations and has allowed the team to customize and create unique workflows for different work order types. The team has been able to simplify some work order types, such as those for inspections, enabling the technicians to spend less time entering data and instead focus on more important tasks. Vendor management has also been streamlined, with external technicians now using the same platform as the in-house team. This has made it easier for management teams to get status updates on critical issues and see how vendors are performing. The solution has also increased the consistency and accuracy of the data, simplifying processes such as incidents and change management requests.
Quantitative Benefit
  • Managed over 1,000 mission-critical work orders every month in the system, including for preventive maintenance, corrective maintenance, and inspections
  • Streamlined vendor management by enabling external technicians to use the same system as in-house teams
  • Simplified processes and increased data accuracy and consistency, reducing costs by avoiding duplicate maintenance visits and preventing costly failures
