The Challenge
The Toledo Clinic, a large private multi-specialty physician group, was facing challenges in managing policies and employee reports. The organization was using SharePoint to manage policies and procedures, but the system was not effective. The Clinic's Corporate Compliance Officer, Drew Williamsen, had previous experience with SharePoint and knew that it was not capable of being a policy management system. In addition to this, the organization did not have a proper hotline. All reports were done via spreadsheets and disparate documents, making it difficult to track reports and visualize trends.
About The Customer
The Toledo Clinic is a large private multi-specialty physician group based in Toledo, United States. The Clinic offers a wide range of services including radiology services (x-ray, ultrasound, MRI, CT and other scans), laboratory services, and a pharmacy on the main campus at Secor Rd and Sylvania Ave. The physicians at the clinic represent essentially all specialties and the breadth of primary care. The main campus facility also includes a newly designed outpatient surgery center serving all surgical specialists at the Clinic. The clinic employs over 1,400 staff members.
The Solution
The Toledo Clinic decided to implement NAVEX's EthicsPoint and PolicyTech. EthicsPoint is a hotline and incident management software that allows the organization to better track and manage employee and patient reports. It also provides the organization with the flexibility needed to separate HR and compliance reports and put those reports through different workflows. On the other hand, PolicyTech is a policy and procedure management software that makes it easy for employees and system administrators to access policies in a centralized location. It also keeps track of employee attestations and provides an easy way for Williamsen and his team to automate policy workflows and run reports.

  • PolicyTech helped the organization make changes to how it was managing data. The IT department had been looking for a reason to make marked improvements to the organization’s Active Directory, and implementing PolicyTech provided the push needed to do so.
