The Challenge
In an effort to speed up and streamline operations, simplify solution management, and improve employee experience, this customer sought to consolidate HR processes into a single interconnected solution family using CPS. The customer realized that success required overcoming several key, yet common, business challenges relating to Human Resources: maintaining staffing levels despite rapid employee growth; retrieving information in a timely manner; speeding requests, approvals, and decisions; providing visibility into the status of request activity; maximizing employee productivity and cost effectiveness; and having an intuitive, modern, and mobile-ready user experience. Realizing these challenges could not be met with conventional process automation technology, this entity selected Ultimus Composed Process Solutions as its experience, automation, and rapid innovation platform for digitizing Human Resources. With eight processes already running on Ultimus BPM Suite Version 7, this customer upgraded to the latest Ultimus technologies, including Ultimus Composed Process Solutions, and automated two additional new processes with CPS. Their main reason to upgrade was to benefit from a technology designed especially for digital transformation.
About The Customer
The customer is a county government in Virginia, United States, employing approximately 3,600 people across 37 agencies that serve public works, fire and police response, and social services. County governments are the largest political subdivisions within a state and are responsible for administering state laws, collecting taxes, and managing various public services. This particular county sought to improve its Human Resources processes to better serve its employees and the public. The county government aimed to streamline operations, enhance employee experience, and consolidate HR processes into a single interconnected solution family using Ultimus Composed Process Solutions (CPS). The county's decision to upgrade to the latest Ultimus technologies was driven by the need for a platform designed for digital transformation, capable of handling rapid employee growth and improving overall efficiency.
The Solution
Ultimus implemented several Composed Process Solutions (CPS) to automate various Human Resources processes for the county government. The solutions included: HR Evaluation Merit Process for annual employee evaluations, HR Accruals Process for automating personnel wage changes, stipends, and car allowances, HR Acting Pay for interim wage change approvals, PAF – Separation for processing employment terminations, PAF – HR -Separation for routing employee separation notices to HR payroll, PAF – New Hires for automating new employee onboarding, Transfers for automating employee position transfers, Purchase Requisition Process for automating the Police Department purchasing process, Department Notifications for providing automated reminders of required upcoming employee evaluations, and HR Form Vacant Reclassification Process for automating internal approvals on vacancy reclassification. CPS was chosen for its fully mobile-ready forms, seamless integration with Ultimus Advanced task service, generative low-code development approach, consistent user interface, and the ability to use the latest Ultimus and Microsoft technologies. These features significantly reduced implementation time, simplified solution management, and provided a modern, intuitive user experience for the county's 4,500+ users.
