The Challenge
Océ, a supplier of digital printing systems, software, and services, had developed a complex and mixed IT infrastructure over the years due to its growth and acquisitions. This complexity limited the company's ability to take rapid, decisive action. To address this, Océ launched the SPINE project with the ultimate objective of creating a more flexible and maneuverable organization. The project aimed to realize a new, comprehensive IT architecture and a radical harmonization and standardization of its business processes. The new architecture would be based on SAP.
About The Customer
Océ is a supplier of digital printing systems, software, and services for the production, reproduction, distribution, and management of documents. The company caters to professional users across various sectors, including the business community, education, industry, advertising, and graphics markets. Océ operates commercially in more than 90 countries, with its own research and production branches in Europe, the U.S., and Canada. As of 2007, the company had almost 24,000 employees and realized a turnover of €3.1B and a net profit of €78.9m.
The Solution
Océ used a variety of ARIS tools to gain greater insight into existing processes and infrastructure. These tools included ARIS Business Designer for modeling business processes, ARIS Business Publisher for communication to end users and the project team, ARIS Business Architect for SAP for processes interchanged with the SAP Solution Manager, and ARIS IT Architect for Enterprise Architecture Management. Océ also used ARIS Redocumentation to make existing SAP usage directly accessible inside the business processes. The company appointed Business Process Owners to ensure constant alignment of the business and IT by translating the demands of the business consistently into ICT requirements.
Operational Impact
  • ARIS became the 'single point of truth' for Océ, serving as a central location where all information about the company’s processes, organization, applications, data, and infrastructure is located.
  • The use of ARIS tools led to greater insight and coherence in both the IT department and the business.
  • The link between the business and IT improved significantly, leading to more customer-oriented operations.
Quantitative Benefit
  • The number of variations for certain processes was reduced by as much as 30 percent, leading to substantial savings in terms of management.
  • The implementation of uniform processes was achieved at a lower cost.
  • The number of duplicate processes was drastically reduced.
