The Challenge
Onderstepoort Biological Products (OBP), a South Africa-based biopharmaceutical products provider, was facing challenges with its manual board pack processing. The company was struggling with the compilation and distribution of board packs across board and committee meetings. In 2020, the board of directors requested the legal and secretariat departments to find a solution to improve their meeting process and document management. The company, being a National Key Point, was also concerned about the risks of information breaches if they continued to operate manually. The search for a solution involved extensive consultation with the IT and Procurement Departments.
About The Customer
Onderstepoort Biological Products (OBP) is a provider of biopharmaceutical products based in South Africa. The company produces veterinary vaccines for the continent and globally. OBP has been using Convene, a paperless management software, since July 2021. The company was in need of a solution to improve their meeting process and document management, as they were manually processing board packs. Being a National Key Point, OBP also had to consider the risks of information breaches if they continued to operate manually.
The Solution
After evaluating several providers, OBP chose Convene, a paperless management software, for its functionalities and positive recommendations from the Agricultural Research CouncilOnderstepoort Veterinary (Research) Institute (ARC-OVI), who were also Convene clients. The integration of Convene with OBP's internal processes significantly improved the efficiency of the OBP Secretariat. The transition from paper-based meetings to paperless was smooth, resulting in financial and environmental benefits. Convene's Agenda Builder facilitated meeting preparation by enabling quick population of the agenda, setting timeframes, attaching documents, and publishing the meeting. Convene also simplified the minutes compilation process by providing a template, resulting in a shorter turnaround time for the circulation of minutes and faster information access.
