The Challenge
Prince William Health System faced several challenges. They lacked real-time visibility into their Accounts Receivable (AR) process due to the outsourcing of management and tracking, coupled with limited reporting. This lack of visibility was a significant issue as it hindered their ability to effectively manage their revenue cycle. Additionally, they were struggling with high write-offs for insurance claims, which was negatively impacting their financial performance. Another challenge was the assessment of physician performance for the contract renewal process. The hospital needed a way to track and analyze physician performance to make informed decisions about contract renewals.
About The Customer
Prince William Health System is a not-for-profit hospital located in Manassas, Virginia. The hospital, which has 170 beds, is committed to providing exceptional, quality healthcare for the residents of the Manassas area. Despite being a relatively small hospital, Prince William Health System plays a crucial role in the local community's health and wellbeing. The hospital operates in the healthcare industry, which is known for its complexity and the need for efficient and effective management of resources, including financial resources and human resources such as physicians.
The Solution
To address these challenges, Prince William Health System deployed QlikView, a business intelligence and visualization software, to approximately 15 users across three functions in the United States. These functions included Financial Analysis, Revenue Cycle Analysis, and Resource Planning Analysis. For Financial Analysis, QlikView was used to analyze physician scorecards, tracking various metrics by physician, including the number of patients, number of visits and operations, and revenue/cost/profitability by operations. This analysis helped identify top-performing physicians. For Revenue Cycle Analysis, QlikView was used to manage AR collections and claims processing with health insurance funds and patients, and to measure the cycle time of collection. For Resource Planning Analysis, QlikView was used to monitor the utilization of facilities and corresponding staffing to optimize coverage and capture previously lost revenue due to capacity constraints. The implementation of QlikView was rapid, taking less than five days, and QlikView Server was leveraged to aggregate data from disparate systems spanning clinical, financial, and administrative systems.
Operational Impact
  • The implementation of QlikView led to several operational improvements. The hospital was able to bring AR tracking, monitoring, and collection internally, which reduced revenue cycle costs. Previously, these tasks were outsourced. The hospital also improved revenue by analyzing physician scorecards to extend contract renewals to high-performing physicians. This strategic decision was made possible by the insights provided by QlikView. Additionally, the hospital increased the capacity of facilities through streamlined processes and optimized scheduling, which was facilitated by the Resource Planning Analysis function of QlikView.
