United Motors Group (UMG), a major player in the Saudi automotive market, faced several challenges in its operations. The company was heavily reliant on manual data entry, particularly in the procurement department, which had to manually enter customer data and purchase order requests. This not only caused delays but also led to errors. Tracking purchase orders was another significant challenge as they were paper-based, making it difficult to keep track of them. Additionally, UMG had disjointed systems that resulted in a lot of duplication of work and made it even harder to track information. The company was processing 150-200 purchase requests every week, and the manual approach was proving to be taxing and error-prone. Approval steps were often overlooked due to a lack of visibility for other stakeholders and approving authorities into the requests.
United Motors Group (UMG) is one of the largest companies in the Saudi automotive market, with over 600 highly trained and experienced staff across 35 branches. UMG is the largest distributor for Chrysler in the Middle East and has consistently won many awards, such as 'Top Cars and Parts Sales Volume' for Chrysler, Dodge, and Jeep in the Middle East. The company is committed to delivering an exceptional customer experience and recognizes the importance of equipping its internal operations to be highly productive and efficient to achieve this goal.
UMG decided to integrate Kissflow with their ERP tool to address these challenges. Kissflow, a low-code/no-code workflow automation tool, was chosen to help digitally transform the organization. The tool's features, including the ability to create new workflows with ease, a user-friendly interface, and enhanced visibility into daily operations, were particularly appreciated. In the new process, an employee-initiated request was sent to the department manager for approval. Then, the request was routed to the Procurement department, where quotations were incorporated before being forwarded to Finance for approval. Upon completion of the process, the information was automatically updated in real-time on the ERP system. Despite involving numerous stakeholders, Kissflow's efficient handling of the requests ensured that the Service Level Agreements (SLAs) were maintained at impressively short timeframes. Kissflow was also used to streamline other processes such as commissions, sales incentives, employee onboarding, employee support requests, payments, and buyer registration.
