The AI company, x.ai, was facing a significant challenge in managing the scheduling of meetings and appointments. The process was time-consuming and involved a lot of back and forth emails to coordinate schedules. The company had developed an AI, Amy, to help manage schedules, but the process of recruiting participants for user research was still laborious. The team would send out an email blast with a Google Form attached and then sift through the responses to find people who met specific criteria. Once identified, they would reach out to set a time for an interview or observation. This middle step of sifting through responses was costing the x.ai staff essential time.
The customer in this case study is x.ai, an artificial intelligence company that has developed an AI, Amy, to help manage schedules. The company was spending a significant amount of time on the process of recruiting participants for user research, which involved sending out email blasts with a Google Form attached and then sifting through the responses to find people who met specific criteria. The solution to x.ai's challenge came in the form of Typeform and Zapier. Raquel Ledezma-Haight, Associate Product Manager at x.ai, discovered these tools while searching for solutions to automate emails from Typeform submissions. She switched over to Typeform, which allowed x.ai to brand the questionnaire. Now, when responses come in, the search for qualified users is automated. Raquel built a Zap, a bridge between two or more apps, to search for a specific answer to one question. If the customer answered affirmatively, an email would automatically be sent to the customer, with Amy CCed to set up the interview. Additionally, Raquel crafted another Zap to send Slack notifications for new meetings, keeping the x.ai team in the loop about how many interviews were scheduled and who they were with.
