A Boston-based financial services firm was struggling with manual and paper-based internal processes that were inefficient and insecure. These processes included administrative workflow tasks such as time off and work-from-home requests, internal documentation, and calendar scheduling. The firm was already using SharePoint to store information, but still relied on paper forms for many requests, which were manually managed via email, Excel, and physical delivery. This meant that requests had to be physically written on a paper form and delivered to the relevant colleague, before being manually entered in SharePoint. The customer is a Boston-based financial services firm with over 250 employees. It operates as an independent entity within the investment/insurance group and has its own data center, network, and IT infrastructure. A principal technical engineer manages enterprise architecture, SharePoint environments, and more, including the organization’s use of the Nintex Platform. The firm prides itself on creating a supportive, engaging, and dynamic experience for its customers and employees. It was already using SharePoint to store information but was looking for ways to optimize its manual and paper-based internal processes.
The Solution
The firm adopted Nintex for SharePoint to automate a range of tasks, including document approvals, calendar scheduling, onboarding, and building lightweight directories. The automation started with simple approvals for flexible work, time off, and holiday requests, and later moved into document approvals and calendar management systems. With automation, previously complex tasks such as user onboarding, active directory provisioning, and user account management could be completed much quicker than before. Nintex helped the firm move from paper document management to a digital approach of managing asset data using electronic documents and refined document approval processes. Among the more complex processes automated with Nintex was compliance reporting, a time-intensive process that could now be automated, freeing up employees to focus on other value-added tasks.
