The Challenge

The customer, a large manufacturing company, was struggling with the management of product documents for hundreds of products and product categories, including those manufactured by multiple subsidiaries and divisions. The product-related data was stored in SAP, with SAP Hybris Commerce serving as the web representation for B2B communication. However, product files were stored in disparate formats on employee laptops and various file shares, leading to a lack of a unified approach. The manual creation and uploading of technical descriptions and product specifications to SAP Hybris Commerce led to difficulties in locating correct versions of assets and handling multiple versions of media assets for a product was time-consuming and prone to error. The system was riddled with duplicates and different versions of technical descriptions and product specifications for the same product, leading to uncertainty about the correct version. The customer needed to automate the process of creation and management of product documents, improve versioning of assets, eliminate duplicates, reduce asset search time and implement seamless integration with the existing ecosystem.

About The Customer

The customer is a large manufacturing company that supports hundreds of products and product categories, including current and discontinued products manufactured by multiple subsidiaries and divisions. They were using SAP for storing product-related data and SAP Hybris Commerce as the web representation for B2B communication with clients. However, they were facing challenges with the management of product documents, versioning of assets, duplication of media assets, and integration with the existing ecosystem. They needed a solution that would automate the process of creation and management of product documents, improve versioning of assets, eliminate duplicates, reduce asset search time and implement seamless integration with the existing ecosystem.

The Solution

N-iX Professional Services introduced OpenText Media Management (OTMM) to create a centralized repository for media assets, and OpenText Exstream to introduce the automatic generation of needed collateral. After OTMM was installed, a metadata model was created to represent data needed to be stored with each media asset, introducing a fast and responsive search system. Over 10,000 assets were uploaded to centralized storage using a batch upload function and OpenText Media Management was integrated into the existing SAP Hybris product cockpit module. This required the installation and configuration of existing OpenText SAP Hybris extensions for OTMM. Templates for technical descriptions and product specifications were developed, along with templates for company letters and marketing documents, leveraging the omnichannel functionality of OpenText Exstream product.

Operational Impact
  • The implementation of OpenText Media Management (OTMM) and OpenText Exstream led to a number of operational benefits. The creation of a centralized repository for media assets eliminated the duplication of multimedia assets and improved the user experience with an easier search of multimedia assets. The automatic generation of needed collateral reduced document change cycles and decreased the costs of document updates. The integration of OpenText Media Management into the existing SAP Hybris product cockpit module enabled seamless SAP Hybris Commerce integration and provided greater control of asset use in auto-generated documents. The consistent branding across all auto-generated documents improved the company's image and the reduced time to market for new product launches across regions gave the company a competitive advantage.
